Release Notes 10/16/26
Changes made to Fidesic as of 10/16/26
Heads Up: Things That Will Look Different
- Times now show in your company's time zone. Admins can choose it under Settings, Company, Preferences, in the new Time Zone panel: Eastern (the default), Central, Mountain, Arizona, Pacific, Alaska, Hawaii, Atlantic, Newfoundland or London. Times on screen, in exports and in emails to your vendors and customers follow it, and date filters read the days you pick in that zone. Payment and print cutoffs stay in Eastern Time, because they follow the bank. Learn more
- An invoice can't be unvoided while another invoice has its number. If you void an invoice, enter a replacement under the same number, and then unvoid the original, Fidesic now refuses with a message naming the other invoice's Ref: void that one first. The same check applies when a draft is sent. Only the company that voided an invoice can unvoid it.
- API keys are shown only once. An API key and its password are shown one time, when the key is made, and can't be viewed again afterwards. Your existing key keeps working and appears on the API Keys page as "Original key". If you no longer have a copy of it, create a new key and update your integration with it.
- Invoice lines match only PO lines with the same item number. In the PO line picker, lines with a different item number are greyed out with "Item number doesn't match this invoice line" and can't be picked. PO lines with no item number, such as freight or services, still match any line. If you change a line's item when adjusting an invoice, its old PO match is removed and the line is matched again by its new item number.
- Invoices matched to a PO no longer get default GL codes. When an invoice is linked to a PO, Fidesic no longer adds the vendor's default GL codes, recurring lines or suggested GL codes, because the PO lines are the coding. If MagiCapture didn't capture line detail, use Import Lines from PO; until the invoice has lines, approval stops with "At least one GL code is required".
Invoice Entry & Coding
- Freight, misc and trade discount get their own rows. Turn on Invoice Charges (Freight, Misc, Trade Discount) under Settings, Company, Preferences, and the Type picker on an invoice's GL rows offers Freight, Misc and Trade Discount. Each charge row has its own account, filled in from the vendor's default for that charge, and the footer shows the subtotal and charges separately. On a PO invoice, each charge shows Matched or Over PO against what the PO has left, and MagiCapture captures freight and miscellaneous charges such as handling, fuel surcharges and fees onto their own rows. Learn more
- Adjustments on invoices now prevent partial edits. If a save fails part way, for example because a GL code isn't in your chart of accounts, nothing on the invoice changes. Previously a failed save could still remove a line's PO match.
Captured Invoices (MagiCapture)
- PO numbers without their leading zeros now match. When a vendor prints PO 1234 for your PO 001234, MagiCapture now finds and links the PO, and saves your number on the invoice. These invoices used to arrive with no PO.
- Item numbers fill in on captured PO lines. Captured lines on PO invoices showed a blank Item No. even when the printed item matched the PO. Item numbers now come from the matched PO line or your item catalog, and lines pair with PO lines by item number first.
- Vendors with "dba" names are recognized. A vendor on file as "Dega Tech Systems, Inc. dba FuelerLinx" now matches an invoice printed under either name, instead of landing on Unknown Vendor. These matches carry a "please verify" note, so the invoice is never approved automatically.
- Better detection of duplicate invoices. A PDF that came in on two emails at the same moment could become two invoices. The second is now rejected as a duplicate invoice number, as it already was when the copies arrived minutes apart.
Approvals & Workflow
- Send to AP. An approver who isn't sure where an invoice belongs can click Send to AP in their approval queue or next to Approve on the invoice, add a short note, and hand it to the workflow's default approver. The rest of the invoice's workflow ends, so AP's approval is the only decision left, and the approval list shows "Sent to AP" with the note. Learn more
- Export a workflow. The Invoice and Payment workflow pages have a new Export button. For sign-off (PDF) gives auditors and managers a readable copy of every stage, rule, condition and approver. As a template (JSON) saves the same workflow in a form that can be loaded into another company through the REST API. Learn more
- Deactivate an approver without reassigning first. If every rule a user approves on has another active approver, deactivating them now offers Remove & Deactivate, which takes them off those rules, or Reassign. Deactivation is still refused when they are a rule's only active approver. Learn more
- Remove any approver from a rule. When a rule has more than one approver, each one now has its own Remove Approver button in Edit Rule. Previously only the last approver could be removed.
- Notes on Send Back To Approver are kept. The message typed when sending an invoice back to an approver was being dropped. It now comes through. Pressing Enter also no longer skips a note your company requires on approve or void.
- PO match rules save the option you picked. Switching stages quickly in the Add Rule window could save a Full Match or Within Remaining rule as Exact.
Purchase Orders
- Voiding an invoice reopens its PO. A voided or cancelled invoice no longer counts as received against its PO, so a PO it had closed reopens and its lines are available again. Unvoiding the invoice applies it again, and a Released PO goes back to Released rather than Open.
Vendors
- Vendors stuck on a missing fax number save again. Editing some vendors failed with "Please provide fax number to deliver the purchase order by Fax", although the vendor page has no fax field to fix it with. About 300 vendors were affected. Saving now simply drops a delivery method the vendor has no fax, email or address for.
- A vendor's currency is kept when saving. Some saves could clear the vendor's currency or replace it with the wrong one.
Payments & Banking
- Add bank accounts from a spreadsheet. The new Import Bank Accounts button on the Banking page adds several company checking accounts at once from a CSV or Excel file. Rows with a problem are listed with the reason and skipped, and the rest are added. Routing numbers that Excel shortened by dropping leading zeros are corrected. Learn more
- Switch a sent check back to First Class. A check that has gone to the mail house but hasn't been mailed yet can now be changed back to Ship First Class, and it goes out right away on its own. The credits for the cancelled send are refunded, so you pay only for the send that is mailed. Learn more
- Voiding one check in a sent packet keeps the others right. Voiding a check in a sent bundle used to cancel the whole packet at the mail house while Fidesic still showed the other checks as sent. Fidesic now recalls the packet first and tells you what happened: in a packet of three or more, the other checks stay together to send again from Check Bundles, and in a packet of two, the other check goes out with the normal print run.
- Sent payments to registered vendors open again. Some payments to vendors who had signed up for their own Fidesic account failed to open with "Invalid payment account ID specified".
Reporting
- GL codes on the Invoice Lifecycle report. The report has a new GL Code(s) column, so vendor, dates, amount, GL accounts and approvers are all in one report.
- Report dates and export times are right. Created times in the Invoices Received, Attachments and PO exports could show four or five hours early, and the Audit Log's date range was off by the same amount. Use Tax reports now include the whole last day of the range you pick.
- Invoice backups download straight from Fidesic. Invoice backup files are now stored in Fidesic instead of Dropbox, and the "File Available" email is sent only once the file is ready to download. Backup files are deleted two weeks after they are made, as the backups list has always said.
Users, Sign-In & Integrations
- Single sign-on. Companies can now let users sign in through Microsoft Entra ID, Google Workspace, Okta or any other SAML 2.0 provider, and can require it. Single sign-on is a monthly add-on that account owners turn on from Settings, Users & Permissions, Single Sign-On. Your vendors and customers keep signing in with their passwords. Learn more
- Manage account owners. Account owners can now make another user an account owner, or remove that role, from the user's card on Manage Users. An account always keeps at least one owner, and its only owner can't be deactivated until someone else is made an owner. Learn more
- A new API Keys page. Account owners can make as many named API keys as they need, each with full access or limited to one role, and see when each key was last used. Revoking a key stops it at once, and every account owner is emailed when a key is made or revoked. Learn more
- Business Central keys are named for their environment. With the next Business Central extension update, the API key each connection makes is named after its environment, and reconnecting revokes the key it replaces instead of leaving it active.
Also Fixed
- Import Lines from PO button. The button could sit underneath the Amount column on smaller screens, and its tooltip was cut off.
- Bank account save error. Adding a bank account whose routing number wasn't in Fidesic's bank directory showed an error even though the account had been saved.
- Free trial user limit. Account owners on a free trial saw the message meant for other users when they reached the user limit.
For Microsoft Dynamics GP Users
- GP invoices are all line items or all GL codes. Dynamics GP posts an invoice one way or the other, so Import Lines from PO now removes GL code rows that carry an amount instead of asking whether to replace them. Saving an invoice that mixes the two is blocked with a message explaining why. An existing invoice that already mixes them has to be cleaned up before it can be adjusted.
- PO invoices import from the lines page only. For GP accounts using purchase orders, an invoice matched to a PO now appears only on the line items import page, and other invoices only on the header page. Previously a PO invoice could also be posted from the header page with no distribution.
- See what GP will post. With Invoice Charges turned on, the invoice page has a GP distribution panel showing each account and amount the GP import will post, and whether it goes through Payables or Purchasing. Freight, misc and trade discount rows are sent to GP as those charges rather than as purchasing lines.
